How to customize tasks and workflows

Key point: Set values for the priority and status of tasks and workflows and set permissions for using those values.

Prerequisites

You must have a role of manager or higher. 

1 Go to group or project configuration

Customization of tasks and workflow is managed through the group properties form.

Before you start, you can customise the tasks and workflows for the group only or for all groups in the project. We recommend that you customize the project.

  1. Go to the configuration page either:
    1. At project level, use the project configuration page.
    2. Or, at group level, use the group configuration page.
  2. Expand the Group properties section.
  3. Clear the checkbox on the right to override the default settings.

2 Priority configuration

The priority levels are common to both tasks and workflows.

  1. Click the  icon to edit the comma-separated list of priority values.
  2. Enter the values from highest to lowest.
  3. Click the icon or press ENTER when done (or to cancel).

You can see a preview of how the priorities are shown in the user interface.

3 Status configuration

Tasks and workflows have their own set of statuses, but their configuration is similar.

  1. Click the  icon to edit the comma-separated list of status values.
  2. Enter the values in lifecycle order – users with the role of approver can use these values.
  3. Click the icon or press ENTER when done (or  to cancel).
  4. Click the Role checkboxes to select which status values can be set based on the role:
    1. Select the status values that Managers can set.
    2. Select the status values that Contributors can set.
    3. Select the status values that Reviewers can set.
  5. Click the Mark as Active checkboxes to select which status are considered "active" – tasks with an active status are always returned in the cardwall, whereas, others are no longer shown after a period of time.
  6. Click the Mark as Locked checkboxes to select which workflow status locks the document, making it uneditable until the status is changed (workflow statuses only).
  7. Click the Broadcast Approvers checkboxes to select when approvers receive a notification that the status has changed.
  8. Select the icons to display in the user interface for each status.

4 Save

Don’t forget to click Save to preserve your changes!
